Introduction #
The Sites module allows you to manage your company’s various physical locations: warehouses, branches, offices, retail locations, etc. A site can serve as a storage facility, a retail location, or both. It is accessible via Inventory Management > Sites.
Locations form the basis of the geographical organization in Kafinea: they are used by the inventory, maintenance, point-of-sale, and human resources modules.
1. Create a website #
Click on Add a site from the list of sites.
General information:
- Site name: the name identifying the location (required)
- Code: a short code to identify the site
- Type and Category: allow you to classify your sites (warehouse, branch, factory, etc.)
- Region: the geographic area of the site
- Parent: allows sites to be organized hierarchically (e.g., a warehouse linked to a regional office)
Key features:
- Warehouse / Stock: Check this option if the site is used as a storage location. This enables the management of storage locations and stock movements for this site
- Retail locations: Check this option if the site has a physical retail location
- Default site: Sets the site used by default in operations (only one site can be set as the default)
Contact information and address:
- Full address (street, city, ZIP code, state, country)
- Phone, email, website
- Geolocation URL (link to a map)
2. Hierarchical organization #
Sites can be organized into a tree structure using the Parentfield. This allows you to reflect your geographical organization:
- Headquarters
- Agence Nord
- Warehouse in Lille
- South Agency
- Warehouse in Marseille
- Agence Nord
This hierarchy is purely organizational and has no impact on inventory management rules.
3. Site-related elements #
Once record site record , several tabs provide access to related items:

4. Frequently Asked Questions #
What is the difference between a site and a storage location?
A site refers to a physical location (a building, an address). A storage location is a subdivision within a site (an aisle, a shelf, an area). A site can contain multiple storage locations.
Do I need to check "Warehouse / Stock" for all my locations?
No, only for locations that are actually used for storage. A purely administrative location (headquarters, sales office) does not need this option.
How do I set the default site?
Check the box Default Site in the record relevant site. This site will be preselected in inventory operations and other modules that require a site.
