Tags, or labels, are keywords that serve as tags and can link Kafinea records together. This is a very useful feature for Electronic Document Management.
Creating a label #
There are 2 ways to create a label in Kafinea:
- From a record : you can create a tag directly from the header of a record by clicking on the + Add tag button. The form that appears suggests existing tags. The right-hand side of the form lets you create a new tag.
- From user preferences: you can add, modify or delete tags from Kafinea settings > My preferences > My tags.
You can create several tags at once by typing the name of each new tag separated by a comma. You can choose to keep these new tags private or make them public for all users of the instance. To do so, simply check the Public tagsbox.
Using # labels
To view records with the same tag, click on the desired tag in the Tags section of the left-hand pane of the relevant module. The records table will be updated, filtering only records with the selected tag. What about documents?
Where can I find documents with the same label? #
Kafinea > Documents > Tags
Each document imported into Kafinea(quotes, invoices, delivery notes, CVs, etc.) is considered a record in the Documents module. Consequently, the tags applied to these different types of document are cross-functional. By clicking on a tag, you'll see all documents bearing that tag, whatever their type.
Case study #
A construction company creates a tag called Algeco. By using this tag on various documents, the company can simply go to Documents > Tags and view all documents bearing this tag. You'll find in the same place quotes for the rental of algecos, the supplier's invoice for their rental, and the algecos' delivery notes.
