Create a quote<\/h2>\n<h3>Access<\/h3>\n<ol>\n<li>Access the <strong>Quotes<\/strong> module via <em>Main menu &gt; Sales &gt; Quotes<\/em><\/li>\n<li>Click the <strong>Add Quote<\/strong> button<\/li>\n<\/ol>\n<h3>Information to provide<\/h3>\n<p>A quote consists of several information blocks:<\/p>\n<p><strong>General information:<\/strong><\/p>\n<ul>\n<li><strong>Subject<\/strong>: quote title (required)<\/li>\n<li><strong>Customer account<\/strong>: the recipient customer or prospect<\/li>\n<li><strong>Contact<\/strong>: the associated contact on the customer side<\/li>\n<li><strong>Valid until<\/strong>: offer expiry date<\/li>\n<li><strong>Assigned to<\/strong>: the sales representative responsible for the quote<\/li>\n<\/ul>\n<p><strong>Product\/service lines:<\/strong><\/p>\n<ul>\n<li>Add one or more products or services from the catalog<\/li>\n<li>For each line, enter the quantity, unit price, and any discount<\/li>\n<li>Applicable taxes are calculated automatically based on the product configuration<\/li>\n<\/ul>\n<blockquote class=\"bq-note\">\n<p><strong>Note:<\/strong> Taxes and tax regions are configured in the admin panel. To learn more, see <a href=\"..\/..\/250_parametrage\/120_la-configuration-des-taxes.md\">Tax configuration<\/a>. <\/p>\n<\/blockquote>\n<blockquote>\n<p><strong>Good to know<\/strong>: you can add products from different categories to the same quote. Subtotals and the grand total are recalculated automatically. <\/p>\n<\/blockquote>\n<h3>Currency<\/h3>\n<p>The quote can be issued in the currency of your choice. The currency is selected in the form and applies to all lines in the document. <\/p>\n<hr>\n<h2>2. Quote lifecycle<\/h2>\n<p>Each quote goes through different stages that reflect its sales progress:<\/p>\n<div style=\"overflow-x:auto\">\n<table>\n<thead>\n<tr>\n<th>Stage<\/th>\n<th>Meaning<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td><strong>Created<\/strong><\/td>\n<td>The quote has just been created; it has not yet been sent to the customer<\/td>\n<\/tr>\n<tr>\n<td><strong>Sent<\/strong><\/td>\n<td>The quote has been sent to the customer (by email or another channel)<\/td>\n<\/tr>\n<tr>\n<td><strong>Under review<\/strong><\/td>\n<td>The customer is reviewing the proposal<\/td>\n<\/tr>\n<tr>\n<td><strong>Accepted<\/strong><\/td>\n<td>The customer has accepted the quote \u2014 it can now be converted<\/td>\n<\/tr>\n<tr>\n<td><strong>Rejected<\/strong><\/td>\n<td>The customer has declined the proposal<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<\/div>\n<blockquote class=\"bq-important\">\n<p><strong>Important:<\/strong> switching to the \u201cAccepted\u201d status is a prerequisite for converting the quote into an order or an invoice. However, you can trigger the conversion manually regardless of the status. <\/p>\n<\/blockquote>\n<hr>\n<h2>3. Actions available on a quote<\/h2>\n<h3>Send by email<\/h3>\n<p>From the quote record, you can send it directly by email to the associated contact. The system automatically generates a PDF of the quote and attaches it to the message. <\/p>\n<h3>Export to PDF<\/h3>\n<p>You can download the quote in PDF format at any time to print or archive it.<\/p>\n<h3>Electronic signature<\/h3>\n<p>If the electronic signature module is enabled, you can start a signing process directly from the quote record. The recipient receives a link to sign the document online. <\/p>\n<blockquote>\n<p><strong>Good to know<\/strong>: electronic signatures are legally binding. Once the document is signed, it is archived with the proof of signature. <\/p>\n<\/blockquote>\n<hr>\n<h2>4. Convert a quote<\/h2>\n<p>A quote can be converted into several types of documents. These conversions are available from the quote record via the actions menu. <\/p>\n<h3>To a customer order<\/h3>\n<p>The conversion automatically carries over all quote information (customer, product lines, amounts) into a new customer purchase order.<\/p>\n<h3>To an invoice<\/h3>\n<p>The conversion creates a pre-filled invoice from the quote data. The invoice date and due date are initialized to today\u2019s date. <\/p>\n<h3>To a supplier order<\/h3>\n<p>From a quote, you can generate supplier orders for products to be procured. The system lets you select the lines to convert and automatically creates the corresponding supplier orders. <\/p>\n<blockquote>\n<p><strong>Good to know<\/strong>: if the products in the quote come from different suppliers, a separate supplier order will be created for each supplier.<\/p>\n<\/blockquote>\n<h3>Automatic invoice generation<\/h3>\n<p>A workflow can be configured to automatically generate an invoice when a quote moves to the \u201cAccepted\u201d status. This behavior can be configured in the module\u2019s workflow settings. <\/p>\n<hr>\n<h2>5. Relationships with other modules<\/h2>\n<p>The quote is a central document in the sales process. From the quote record, the relationship tabs allow you to view: <\/p>\n<ul>\n<li><strong>Customer orders<\/strong>: the purchase orders generated from this quote<\/li>\n<li><strong>Invoices<\/strong>: the invoices generated from this quote<\/li>\n<li><strong>Supplier orders<\/strong>: related procurement orders<\/li>\n<li><strong>Documents<\/strong>: associated files (signed PDF, attachments, etc.)<\/li>\n<li><strong>Activities<\/strong>: calls, meetings, and tasks related to this quote<\/li>\n<\/ul>\n<hr>\n<h2>6. Special cases<\/h2>\n<h3>Multi-line quotes with different discounts<\/h3>\n<p>Each product line can have its own discount (percentage or fixed amount). You can also apply an overall discount at the quote level. <\/p>\n<h3>Editing a quote after sending<\/h3>\n<p>A quote can be edited at any time, regardless of its status. Remember to resend the document to the customer if changes were made after the initial send. <\/p>\n<h3>Duplicating a quote<\/h3>\n<p>Use the <strong>Duplicate<\/strong> function to quickly create a new quote from an existing one. All information is carried over, including product lines. <\/p>\n<hr>\n<h2>7. Frequently asked questions<\/h2>\n<h3>How do I know if a quote has been converted?<\/h3>\n<p>Check the relationship tabs on the quote record. If a customer order or an invoice has been generated, it will appear in the corresponding tab. <\/p>\n<h3>Can the same quote be converted multiple times?<\/h3>\n<p>Yes, a quote can be converted multiple times. This can be useful for creating multiple orders or partial invoices from the same quote. <\/p>\n<h3>How can I find all quotes for a customer?<\/h3>\n<p>From the <strong>Customer account<\/strong> record, go to the <strong>Quotes<\/strong> tab to display the list of all quotes associated with that customer.<\/p>\n<h3>Can the customer view their quotes online?<\/h3>\n<p>If the customer portal (extranet) is enabled, finalized quotes are available to the customer from their online space.<\/p>\n<hr>\n<h2>8.
