The Challenge
To support its activity, MTN Inventaires had to meet the challenge of efficiently managing contracts and payslips for its inventory staff, employees with highly variable work schedules who carry out numerous assignments each month.
The company suffered from a manual, paper-based time tracking process, which was both time-consuming and highly prone to errors or loss of information. Managing each intervention manually (with the issuance of a contract per assignment and a monthly payslip) represented an overwhelming and costly administrative burden.
These inefficiencies hindered the company’s ability to scale and caused delays in issuing client invoices and payslips.
The Solution
Madiasoft customized Kafinea by adding new functionalities and created a mobile application that met the specific needs of MTN Inventaires.
The HR process has been completely streamlined: employees enter their information via an extranet, which triggers the automatic creation of a contract for each intervention and its dispatch for electronic signature. On-site, the employee receives a QR code that they scan upon arrival and departure via the mobile application, automatically generating the corresponding timesheet in the system.
Automated workflows then handle the monthly issuance of payslips, SEPA bank transfers, and the production of all mandatory legal declarations.
The Result
The complete elimination of the paper process allowed for the generation of over 26,000 timesheets last year with minimal human intervention, eradicating data entry errors in the process. MTN Inventaires can now track employee presence in real-time, automatically analyze absences, and invoice clients immediately after inventory completion.
