Objective #
When you mobilize many responders, you want each
assignment to be visible only to the right people: those in the right
geographic area, with the right qualifications, or meeting any other criterion.
That is the role of people lists.
The principle is simple: you link a people list to an
assignment. Only people who meet the criteria of this list will see
the assignment in their space and will be able to sign up for it. Each assignment can
be linked to a different list.
Step 1 – Describe your responders #
Enter your responders in the People module, with the fields you will
use to segment them: geographic area, skills, availability,
status… The more precise your segmentation criteria are, the more relevant your lists will be.
Step 2 – Create people lists #
In the People module, create lists (filtered views) that match
your needs, for example:
- a “Responders – North zone” list;
- a “Inventory-qualified responders” list;
- a “Available on weekends” list.
A list is defined by criteria: anyone who meets these
criteria is automatically included in the list, with no manual management.
To open an assignment to everyone, simply link it to a
list that contains all people.
Step 3 – Link a list to an assignment #
On the project task (the assignment), choose the authorized people
list and indicate that the assignment accepts sign-ups from
the responder space. Specify the desired number of slots.
From there:
- only people on the list can see the assignment;
- they can sign up as long as slots remain;
- other people see nothing about this assignment.
Important: an assignment without a list is visible to no one. This is
intentional: as long as you have not designated who can see an assignment,
it remains closed.
Real security, not just a display filter #
The people list is not just a display filter: authorization is
rechecked at every sign-up and every cancellation. A person therefore cannot
bypass the rule to sign up for an assignment that is not open to them.
Notify the relevant people #
When an assignment is opened, Kafinea can notify by email the
people on the authorized list so they sign up quickly, which is
useful when you need to staff an assignment urgently.
Handle the load #
This mechanism is designed for high volumes: thousands of responders and
assignments, with sign-up spikes when many people log in
at the same time. Lists remain smooth to browse even at large
scale, and slots are allocated without overbooking.
