Introduction #

The “Employee Portal” card is a configurable mini-card that appears in the user menu (top right of the interface). It promotes access to the employee extranet for back-office users.

Accessing the Configuration #

Log in as an administrator
Go to Settings → EXTRANET → Configuration
Scroll down to the Employee Portal Card section

Configuration Fields #

Display card in user menu #

Type: Checkbox (Yes/No)
Description: Activates or deactivates the display of the card in the user menu
Default: Disabled

Employee Portal URL #

Type: Read-only field
Description: Displays the extranet URL configured for your instance
Note: This URL is defined in the system configuration (PORTAL_URL) and cannot be modified here

Card Title #

Type: Text (max 50 characters)
Description: The title displayed at the top of the card
Default value:
- FR: “Espace collaborateur”
- EN: “Employee Portal”

Descriptive Text #

Type: Text area (max 300 characters)
Description: The explanatory text displayed in the card. Line breaks are preserved.
Default value:
- FR: “Gérer mon activité, mes absences et mes informations personnelles.”
- EN: “Manage my activity, my absences and my personal information.”

Button Text #

Type: Text (max 30 characters)
Description: The text for the action button (CTA)
Default value:
- FR: “Accéder”
- EN: “Access”

Tooltip Text #

Type: Text (max 100 characters)
Description: The text displayed when hovering over the action button
Default value:
- FR: “Ouverture dans l’espace collaborateur”
- EN: “Opens in the employee portal”

Multilingual Behavior #

If you leave the Title, Descriptive Text, Button Text, and Tooltip Text fields empty, the system will automatically use the default values translated according to each user’s language.

Recommendation: For an optimal multilingual experience, leave the fields empty and use the default values.

If you customize the texts, they will be displayed as is for all users, regardless of their language.

Tip: If you wish to customize the texts while maintaining a multilingual experience (different texts depending on the user’s language), you can use Kafinea’s translation feature to modify the default values. Go to Menu → Configuration → Settings → Module Management → Languages & Translations to customize labels by language.

Example 1: General Promotion #

Title: Employee Portal
Text: Manage my activity, my absences, and my personal information.
Button: Access
Tooltip: Opens in the employee portal

Example 2: Leave Focus #

Title: Request your leave
Text: Request your leave in a few clicks from your personal space.
Button: Request Leave
Tooltip: Access leave management

Example 3: Expense Report Focus #

Title: Expense Reports
Text: Submit your expense reports and track their validation in real time.
Button: Submit
Tooltip: Access expense reports

Display Conditions #

The card is displayed only if:

The “Display card” option is enabled
The extranet URL (PORTAL_URL) is configured and not empty

Security #

Entered texts are automatically sanitized (HTML tags removed)
The URL is validated to prevent JavaScript injections
The link opens in a new tab with appropriate security attributes (target="_blank" rel="noopener noreferrer")

Preview #

The card appears in the user menu, just after the user’s information (name, avatar, role) and before the “My Preferences” link.
