Introduction #
Kafinea's AI chatbot is an assistant built directly into the ERP interface. It allows you to ask questions in natural language and receive context-specific answers about your data, business processes, or routine tasks.
The chat panel is accessible from any page on Kafinea without leaving your work screen.
1. Open the chat panel #
The AI panel opens via the button located in the top bar of the interface. Once opened, it appears on the right side of the screen as a resizable side panel.
- Click the button to open or close the panel.
- The panel retains its state (open/closed) throughout your browsing session.
- The width of the panel can be adjusted by dragging and dropping along its left edge.
2. Send a message #
Type your question or command in the text box at the bottom of the panel, then press Enter or click the Send button.
Tip: Use Shift + Enter to start a new line without sending the message.
The chatbot supports questions in French and English. Responses are formatted using Markdown (lists, tables, formatting).
3. Message templates #
The " Templates " button provides pre-written messages for common tasks:
- Summarize a recording
- Translate a text
- Check the grammar
- Explain a concept
- Improving a text
These templates make it easier to use the assistant without having to type the query manually.
4. Quick Actions #
The Quick Actions bar, located at the top of the panel, provides context-sensitive shortcuts:
- Summarize: Summarize the selected text
- Translate: Translate the selected text
- Grammar: Check spelling and grammar
- Explain: explain a term or a complex text
- Clipboard: Analyze the contents of the clipboard
Note: Some quick actions require that you first select text on the page.
5. Conversation history #
The conversation history is automatically saved on the server. You can:
- Resume a previous conversation by clicking the History button
- Delete a conversation from the chat history list
- Start a new conversation at any time
Your browsing history is saved between sessions: you can access your conversations even after closing and reopening your browser.
6. Clear the chat #
The Clear button deletes all messages from the current conversation and starts a new, blank conversation.
Important: Deletion is permanent and will also remove the conversation from the server.
7. Capabilities and Limitations #
The AI assistant can:
- Answers to questions about using Kafinea
- Help with writing or rewriting texts
- Analyze contextual data from the current recording
- Perform translations
- Create, edit, and delete records (requires the Beta option; see below)
Editing data #
When the (Beta) "Allow AI Agent to Modify Data " option is enabled in Settings > Features, the AI chat can create, edit, and delete records in Kafinea, in accordance with the user's access rights. When this option is disabled, the AI chat operates in read-only mode.
The AI assistant cannot:
- Access information outside your instance
- Ensure absolute accuracy in financial and regulatory calculations
Important: Always verify the critical information (amounts, legal requirements) provided by the wizard.
8. Activation #
The AI chat is enabled by the administrator via Kafinea's feature flags. If the panel does not appear in your interface, contact your administrator.
FAQ #
Does the chat save my messages if I close the tab?
Yes, conversations are saved on the server and automatically restored when you log back in.
Can I use the chat in English?
Yes, the assistant understands and responds in both French and English.
Does the chatbot have access to my confidential data?
The chatbot only accesses data from the current session and the information you provide during the conversation. It respects the access permissions set for your user profile.
