Introduction #

The "Types of Absences" module allows you to configure the various types of absences available in your company: paid leave, RTT, sick leave, unpaid leave, etc. Each type of absence defines the rules for calculating and managing entitlements. This module is accessible via Human Resources > Absence Types.

Absence types are used by the Leave Requests module to categorize and manage requests.


1. Creating a Sense of Absence #

Click on Add an absence type from the module list.

General information:

  • Description: the name of the type of absence (required), e.g., “Paid leave,” “RTT,” “Sick leave”

Order units:

  • Requestable in days: Employees can request this time off in days
  • Requestable by the hour: employees can request this time off by the hour
  • Number of days per unit: the conversion factor (e.g., 1 day = 7 hours)

Rights:

  • Uses up leave balance: indicates whether this absence uses up accrued leave (e.g., paid vacation uses up leave, while sick leave does not)

Year of leave:

  • Start month of the leave period and Start date: define the start of the reference period for calculating leave entitlements (e.g., June 1 for paid leave in France)

Important: The reference period for paid leave in France generally runs from June 1 to May 31. Set the start month and day accordingly for each type of absence.


2. Impact on leave requests #

The configuration of the absence type determines the behavior when creating a request:

  • If Consumes entitlements is enabled, the employee's balance is checked and decremented
  • The available units (days and/or hours) determine the options presented to the employee when they submit a request

3. Frequently Asked Questions #

How do I manage paid leave and RTT days separately?
Create two separate types of absences, each with its own calculation rules and reference period.

What happens if an employee has no remaining leave days?
If the type of absence uses up leave days and the balance is insufficient, the system will flag the overage. Depending on your settings, the request may be blocked or simply flagged for approval by the manager.

How do I set up an absence that doesn't use up leave days?
Uncheck the option Consumes leave. This is typically the case for sick leave, special statutory leave, or unpaid leave.
