Introduction #
The Companies module allows you to manage your organization’s legal entities in Kafinea. If your organization includes multiple companies (subsidiaries, branches), each can be configured with its own legal information, address, and logo. The module is accessible via Settings > Companies.
Kafinea is designed to operate in multi-company mode: data is segregated by company, and users can switch between companies.
1. Start a business #
Click on Add a company from the module list.
General information:
- Name: the company's legal name (required)
- Email: the company's primary email address
- Website: the website's URL
- Phone number: main phone number
Identification and registration:
- Company ID (SIREN): the 9-digit SIREN number
- Business ID (SIRET): the 14-digit SIRET number
- Registration No. (RCS): the registration number in the Trade and Companies Register
- Trade Registry Number: for small businesses
- Legal structure: LLC, SAS, corporation, sole proprietorship, etc.
- Activity Code (APE/NACE): the primary activity code
- VAT number: the intra-Community VAT number
- EORI: the Economic Operator Identification number for international trade
Address:
- Company's full address (street number, street name, additional information, ZIP code, city, county, country)
Logo:
- The company logo, used on printed materials (quotes, invoices, purchase orders, etc.)
2. Main Company #
The option Primary Company option identifies the default company for your Kafinea instance. This is the company that is automatically selected when you log in.
3. Switch between companies #
If multiple companies are set up, you can switch between them using the company selector in the interface. The data displayed (invoices, orders, contacts, etc.) is filtered based on the active company.
Important: If you try to access a record belonging to another company, Kafinea will prompt you to switch to that company before you can view the record.
4. Frequently Asked Questions #
Does the company's information appear on the documents?
Yes, legal information (company name, SIRET number, VAT number, address) and the logo are included in the document templates (invoices, quotes, purchase orders) generated as PDFs.
Can I have different users for each company?
Users are shared across companies. Access rights allow you to control which companies each user can view.
How do I add a new subsidiary?
Simply create a new company with its own legal information. The data will be automatically separated.
