Introduction #
The Project Assignments module allows you to define the members of a project team and their roles. Each assignment links a person to a project with a specific role. The module is accessible via Project Management > Assignments or from the Participations tab of a project.
1. Add a participant #
From the Participations tab of a project, click Add.
Information to provide:
- Project: The project in question (required)
- Person: team member (required)
- Role: the position within the project (project manager, developer, consultant, etc.)
2. Usage #
Investments allow you to:
- Assemble the team: clearly identify who is working on which project
- Define responsibilities: assign a role to each participant
- Track workload: see how many projects each person is involved in
3. Waiting List and Replacement Notification #
Project participants can maintain a waiting list. When a project task is completed, additional people can be added with a "waiting list" status.
Automatic notification:
When a spot opens up on a project task (due to a withdrawal or cancellation), Kafinea can automatically send a notification email to those on the waiting list to let them know that a spot has become available.
Good to know: This system allows for the efficient management of last-minute substitutions. People on the waiting list are notified immediately when an opening arises, without any manual intervention from the project manager.
4. Frequently Asked Questions #
Can one person participate in multiple projects?
Yes, a single person can participate in multiple projects at the same time, taking on different roles if necessary.
How do I view all of an record projects?
From the record , go to the Participations tab, which lists all the projects they are contributing to.
Can a person have multiple assignments on the same project task?
No. A person can be assigned to a project task only once: one assignment per task. An assignment is a single record whose status changes over time (pending, accepted, waitlist, etc.); there are never two active assignments at the same time for the same person on the same task. If the person reapplies after a rejection, it is the same assignment that changes status.
Important: To record multiple work sessions for a single task (such as several days or time slots), use multiple timesheets linked to a single assignment—not multiple assignments. A long-term project spanning several days should be broken down into separate tasks, each with its own date.
